How do I log in to PaySpan?

To log in to your PaySpan account, go to www.payspanhealth.com and click ‘User Login’. Your user name could be the email address that was used when your account was established. If you do not remember your user name, please contact the administrator for your PaySpan® account. If you are the administrator and you do not remember your user name, please contact the PaySpan Provider Support team at 1-877-331-7154 or email providersupport@payspanhealth.com. If you are unable to remember your password you can click the ‘forgot password’ link to reset it.

How Do I Register for PaySpan as a Provider?

To register with PaySpan®, follow these steps: Go to www.payspanhealth.com. Click ‘Register Now’. Enter the Registration Code, Provider Identification Number (PIN) and Tax Identification Number (TIN). Click ‘Start Registration’ button to continue with registration. The Step 1 of 5 Provider Information screen will appear. Complete the required Provider Information questions. Select the ‘Next’ button for Step 2 of 5. Organization Information Step 2 of 5 Complete the required Organization Information fields. If the organization's TIN is the same as the Provider's TIN, simply select the checkbox and the Provider's TIN will populate for you. Select the ‘Next’ button for Step 3 of 5. User Information Step 3 of 5 Enter your full name, email address and phone number. The username field will pre-populate with the email address entered.  If you choose to create your own username, it must be at least 8 characters and may include: letters (a-z), numbers (0-9), dashes (-), underscores (_), ampersats (@), periods (.) The password needs to contain at least 8 characters, at least one capital letter, at least one lower case letter and at least one number. Select the ‘Next’ button for Step 4 of 5. Account Information Step 4 of 5 Enter an Account Name and Description to identify the Receiving Account. Note: Providers typically use the Account Name to specify the payee designation. Each payee will have a separate registration code and can therefore have a separate receiving account established. The same routing and account number can be used for multiple receiving accounts. Enter the routing number and account number in the specified fields. Select the ‘Next’ button for Step 5 of 5. Verification Step 5 of 5 Review the Registration Information. Select the ‘Back’ button to make any corrections.  Read the Service Agreement then select the check box if in agreement. Select the ‘Confirm’ button. This will complete the registration process. You will receive an email from PaySpan® upon completing registration. In a few days you will need to verify with your bank that a minimal deposit has been made by PaySpan. This deposit amount will be used to confirm your electronic payments are set up appropriately through PaySpan® and your bank. You will see an alert in the message bar the next time you login to www.payspanhealth.com using your user name and your password. The deposit does not need to be returned to PaySpan.

Why is my User name inactive? 

Users that do not log into their accounts for a period of 90 days risk being deactivated due to inactivity. In order to avoid deactivation of your PaySpan user name, please log into your account as soon as possible. Your administrator may also deactivate and reactivate Users. If you are an administrator, follow these steps to re-activate users: * Go to the Admin Menu. * Select Manage Users. * Select the inactive Username. * Select the checkbox next to Active. * Click Save.

Why would we want to receive payments electronically?

Electronic Funds Transfer (EFT) payments are more convenient, reduce paper handling, streamline lockbox services, and reduce the risk of lost payments. Even more significant are the advantages of getting an Electronic Remittance Advice (ERA) with each EFT. Delivered in your desired format, the ERA can be directly imported into your practice management or health information system, eliminating the need to re-key remittance details from check stubs, a process that is time consuming and often introduces errors.

What is PaySpan?

PaySpan is designed for healthcare organizations, payers and providers alike, who seek to bring the promise of HIPAA administrative simplification to reality. Specifically, PaySpan Health automates the last leg of the healthcare claims adjudication process – payment and remittance. To accomplish this mission, PaySpan Health optimizes funds transfer and remittance posting by leveraging HIPAA-standard 835 payment and remittance protocols.

Why would we want to use the PaySpan service?

PaySpan makes the transition to electronic payment and remittance quick, easy and cost effective. No service fees are required for your participation in the standard PaySpan offering. You need only enroll in the standard PaySpan service to immediately begin receiving EFTs and ERAs from payers using the service. As another advantage to PaySpan, you will register once, instead of having to register multiple times with multiple payers. PaySpan also gives you the ability to manage payment streams from multiple payers in one place. Yet another attribute of PaySpan is the ability to select a specific format for ERA delivery, which then allows for direct importation into your practice management or health information system.

We receive EFT payments from some of our payers today. What is different with PaySpan?

In the past, the lack of remittance information to clearly associate EFT payments to the appropriate remittance details hindered progress. PaySpan eliminates this typical problem by delivering complete remittance details to you with each EFT payment. To make the connection between payment and remittance details as automated and efficient as possible, PaySpan offers you the option to receive remittance information in a HIPAA 835 format. You can easily reconcile payments without having to re-key information, reducing errors and simplifying the receivables management process. Another PaySpan difference is the online enrollment process, which is fast and easy to complete from a single Internet location.

What if we would like to receive EFT payment, but don’t have EDI capability?

Medical providers and dentists are not required to have EDI handling capability. A great feature of the PaySpan offering is the ability to receive and view the ERA online. All that is required is an Internet connection. After receiving email notification of payment, providers can log into the PaySpan Provider Portal to view the remittance detail. Additionally, the remittance can be printed locally or downloaded in a HIPAA 835 format. This unique delivery capability also includes the robust search and retrieval features required for payment verification, dispute resolution and self-service remittance reprints on-demand.

What does PaySpan do about remittance details?

Separating PaySpan from all alternatives, remittance details are delivered with each EFT payment, viewable online and downloadable in a HIPAA 835 format. The availability of remittance details in an electronic format means that providers do not have to re-key remittance information off a check stub or PDF image, which reduces errors and saves time in provider reconciliation processes. Additionally, if you do not have EDI capabilities, the online remittance view delivers the remittance detail via your browser. All that is required is enrollment in the PaySpan service and an Internet connection. The online remittance view can be printed locally at your office location, addressing your unique workflow needs.

Will we need to switch banks to take advantage of PaySpan?

No. PaySpan is bank independent and non-proprietary. You can keep your existing bank relationship and still receive electronic payments and remittance advices through PaySpan.

Is PaySpan HIPAA compliant?

Yes. PaySpan is fully compliant with the HIPAA 835 payment and remittance standard.

What does the PaySpan service cost?

There is no cost to medical providers and dentists to enroll in the standard PaySpan service and there are no costs to receive EFT payments and ERAs through this service.

Will we need to modify anything in our Practice Management or Health Information System?

No. No development work or alterations will need to be made to your practice management or health information system. You will be able to download HIPAA 835 ERAs, which will be compatible with the vast majority of practice management and health information systems.

Will transactions be archived so we can see them later?

Yes. All transactions are stored in a secure archive. PaySpan provides unique, online search and retrieval capabilities against the archive, thus assisting with dispute resolution, payment verification and reprints. No matter if the payment and remittance originated in paper or electronic format, all claim and remittance data is archived and searchable online.

We haven’t received a registration code. How do we access the PaySpan service?

We contacted Provider Relations at a particular payer, and they weren’t using the PaySpan service. What should we do?
